Why does Poppy charge administrative fees? 🧐
At Poppy, we strive to ensure a smooth and efficient experience for all users. When a fine or additional cost is issued related to your trip, our administrative team takes care of handling the necessary steps. To cover the time and resources involved in this process, we apply an administrative fee.
It’s important to note that these administrative fees are separate from the fines issued by authorities. Fines are sent directly by the issuing authority with payment instructions, ensuring a clear separation between the fine and the administrative fee.The fine is sent to your home address or email with detailed payment instructions.
What does the administrative fee cover? 🔎
The administrative fee compensates for the work of our Admin team, which includes:
Communicating with the authorities to retrieve or verify details about the fine or cost.
Processing the fine or cost and ensuring it is correctly linked to your account.
Informing you about the fine or cost and the necessary payment details.
Handling follow-ups and reminders if the fine remains unpaid, to prevent further penalties.
Processing towing or assistance cases to ensure proper administrative handling.
Managing parking violations issued by local authorities, including administrative processing.
This also includes tasks like opening, scanning and identifying the responsible user.
When is the administrative fee charged? 🗓️
The standard administrative fee is charged when we first forward a fine or charge to you.
If the fine or cost is not paid on time and we receive a reminder from the authorities, an additional administrative fee will be charged to cover the extra processing work.
A €20 administrative fee is also charged for processing towing or assistance cases and parking violations.
Standard Administrative Fee: €20 for handling notices in standard cases.
Late Administrative Fee: €35 if the payment deadline for a fine is missed.
These fees are collected via the payment method linked to your Poppy account after we inform you about them.
Refunds and Disputes
Refunds for administrative fees or fines are possible under specific circumstances:
Duplicate Payments: If you accidentally pay the same fine twice, you must contact the issuing authority (e.g., the municipality) with proof of payment to request a refund. Poppy does not handle refunds for fines paid to external authorities.
Canceled Fines: If a fine is canceled by the issuing authority, provide Poppy with the official cancellation confirmation to receive a refund for the corresponding administrative fee.
By applying these fees, we ensure that fines and costs are handled efficiently while keeping Poppy’s services running smoothly for all users.
How to Avoid Additional Fees
To minimize charges:
Pay fines promptly upon receiving the notice.
Follow the payment instructions provided in the fine notice.
Contact the issuing authority directly to dispute any fines you believe were issued in error.
